Office move checklist: from booking to opening on Monday

An office move that reopens on time is planned backwards from the first working day: the removal company booked as soon as the date was known, the building's rules checked at both ends, every desk given a number on the new floor plan, and the IT provider told exactly what they own. This is the order we work to for offices in Chester, Cheshire and beyond.

As soon as you know the date

  • Appoint one person to own the move internally; they are the only person the removal company needs to ring
  • Confirm the lease dates at both ends and each building's rules on out-of-hours access, lifts and loading bays
  • Ask for a written quote with the plan: which evening or weekend, how many vans and crew, what your staff pack and what we pack
  • Check what the building asks of contractors (method statements, risk assessments, a copy of the insurance certificate) and ask for them early
  • Decide what is not moving: sell, donate or clear it. We clear under our own waste carrier licence, CBDU13412, and donate what we can
  • Order new furniture to arrive after the move, not on the same day

While the plan comes together

  • Agree the new floor plan with desk numbers; every desk, pedestal, chair and screen gets a label with its number
  • Brief your IT provider: servers, network, phones and printers, who disconnects what, and when
  • Book lift slots and loading bays at both buildings, and any parking suspension outside
  • Tell customers and suppliers the new address and the date; set up mail redirection
  • If the new premises will not be ready in time, arrange storage for the furniture at our Chester or Rhayader store

The week before

  • Boxes, packing materials and labels are delivered so staff can pack their own desks; personal items go home
  • Filing and archive packed in numbered boxes in shelf order, so nothing is re-sorted at the other end
  • Clear the fridge, the stationery cupboard and the meeting rooms
  • Photograph the back of every piece of IT before it is unplugged
  • Arrange payment for the move, due in full by the morning of the move unless your contract says otherwise

The move

  • Monitors, towers and phones boxed by desk with their cables, by our crew or your IT team to the agreed plan
  • Servers and comms cabinets last out and first in, at a time agreed with your IT provider
  • Furniture taken apart, moved and rebuilt to the floor plan, as written into the quote
  • Someone from your side present at both buildings to answer questions and sign the job sheet
  • Old site checked room by room before the keys go back

The first working day

  • Everyone finds their own kit at their numbered desk
  • Any damage to the building is noted on the worksheet by 6 pm on the day it happens
  • Anything lost or damaged in the move is reported in writing within 7 days of delivery

Out of hours

Most offices move in the evening or at the weekend so the business keeps trading. Our normal working hours are Monday to Friday, 8 am to 6 pm; work outside them is done by arrangement and priced in the quote, so the figure you agree is the figure you pay. How long before an office move should we book?

As soon as you know the date. A fixed lease end or a busy week fills the diary first, and the plan needs time to settle.

Who moves the IT?

Desktop kit is boxed by desk with its cables; tell us who will disconnect and reconnect it. Servers and network are handled with your IT provider present or to their written instructions.

Do staff pack their own desks?

Usually yes, with the boxes, materials and labels we deliver before the move. We can pack for you instead; the quote says which.

Can the move happen over a weekend?

Yes, by arrangement. Weekend and evening work is priced in the quote.
